All data is stored in the cloud but an Export to Excel feature allows download to your local computer for backup and local storage capability. Following are the six key areas for cemetery administration and maintenance: • Owners • Burial Sites • Burial Detail • Donations • Headstone Pictures • Export to Excel LOGIN Login to maintain records. 1. Type www.gravelocater.com in your browser. 2. The Home page will appear. 3. Click the Login Button on the toolbar of the home page. 4. Enter your user id and password in the text boxes. 5. Click the Login button. 6. The Administration and Maintenance page will appear. OWNERS – Search and Add New Search Owners to find if an owner is already in your database: 1. Click the List Owners button. 2. Type a name or part of a name in the “Enter Owner Name” text box. (For example, type “smith” to find names “Smith” or “Smithton”.) 3. Click Search button. 4. Search results will appear. 5. Click Select next to an owner’s name to see their Block, Lot, and Gravesite information How to add a new owner: 1. Click Add New Owner button. 2. Type in new owner name in the “Enter New Owner Name” text box. 3. Click Add. 4. New Owner Successfully Added will appear at top of page. BURIAL SITES – Add New How to add burial sites for an owner including Block, Lot, Gravesites. 1. Click the Add Burial Sites button. 2. Search for an owner then click Select to the left of the owner name. 3. Scroll and page through the list of available Block, Lot, Gravesites then click in the Select box  to the left of the list of the ones you want to add. (A map of the cemetery will also display.) 4. Click the Add button. 5. The burial sites you added will appear in the form at the top of the page along with the owner’s name. 6. Burial Site(s) added will appear at the top left of the page. BURIAL DETAIL – Add New How to add burial detail including name, birth date, death date, notes. 1. Click the Add New Burial Record button. 2. Search for the owner by scrolling through the list or by using the Search text box. (To Search, type a name or part of name in the text box. Click the Search button.) 3. Click Select to the left of the owner name. 4. Burial detail form will appear. 5. Enter First Name, Middle Name, Last Name, Maiden Name, Birth Date, Death Date, and Notes in the text boxes. (Note: dates are free form. You can enter any date format you want to use.) 6. Click the check box if person was a Veteran. If not a Veteran, leave the check box blank. 7. Click the Add button to save the record. Click the Cancel button to cancel. 8. If the Add button is selected, the following message will appear at the top of the page: Burial record successfully added. EDITING and DELETING RECORDS How to change a record that has already been entered and saved. OWNERS – Edit an existing owner 1. Click the Edit Owner Name button. 2. Type a name or part of a name in the “Enter Owner Name” text box. (For example, type “smith” to find names “Smith” or “Smithton”.) 3. Click Search button. 4. Search results will appear. 5. Click Select next to the name you want to edit. 6. Enter corrected name in the text box. 7. Click the Save button to save the record or Cancel button to cancel. 8. If the Save button is selected, a message will appear at the top of the page that the record has been successfully changed. BURIAL DETAIL – Edit existing burial detail 1. Click the Edit Burial Data button. 2. Click a radio button to search By Owner, By Last Name, or By Block Lot. You can only select one radio button at a time. 3. If you search By Owner or By Last Name: Type a name or part of a name in the “Enter Owner Name” or “Enter Last Name” text box, then click Search. a. A list will appear. b. Click Select to the left of the name. c. A list will appear. Click Select to the left of the name you want to edit. d. A form will appear. Enter the corrected text in the text boxes. e. Click Update to save the record or Cancel to cancel the record. f. If the Update button is selected, the following message will appear at the top of the page: Burial record successfully updated. 4. If you search by Block Lot: Type the Block and Lot numbers in the “Enter Block” and “Enter Lot” text boxes, then click Search. a. If no Block Lot combination is found the following message will appear at the top of the page: No Block Lot found. b. If the Block Lot is found, a list will appear. Click Select. c. A list of the gravesites for that Block Lot will display. d. Click Select next to the record you want to edit. e. A form will appear. Enter the corrected text in the text boxes. f. Click Update to save the record or Cancel to cancel the record. g. If the Update button is selected, the following message will appear at the top of the page: Burial record successfully updated. RELEASE SITE OWNERSHIP How to release a vacant grave site for an owner. Note: A site can’t be released for an owner if there is a burial associated with it. 1. Click the Release Site Ownership button. 2. Search for an owner. To Search, type a name or part of name in the text box. Click the Search button 3. A list of owners will appear. BURIAL DETAIL – Delete a burial record How to delete a burial record. 1. Click the Delete Burial Record button. 2. Search for an owner. To Search, type a name or part of name in the text box. Click the Search button. 3. Click Select to the left of the owner name. 4. A list of burial records for the owner will appear. 5. Click Select to the left of the burial record you want to delete. 6. The following message will appear: “Are you sure you want to delete the selected burial record?” 7. Click the Yes button if you are sure want to delete the record. Click No to cancel. 8. If you click the Yes button, the record will be deleted and the following message will appear at the top of the page: “Burial record successfully deleted.” DONATIONS DONATIONS – Add a new donation How to add a new donation. 1. Click the Add Donation button. 2. Type the donor’s name in the Enter Donor text box. 3. Type the name of the person the donation is in memory of in the Enter In Memory Of text box. 4. Click the Add button to save the record or Cancel button to cancel the entry. 5. If the Add button is clicked, the following message will appear at the top of the page: “Donation successfully added.” 6. To verify, go to the Home page and click Donations and Memorials on the toolbar. 7. A list of donors will appear. The donation you just added will be at the top of the list. (Note: If you don’t see a newly added record on the Donations and Memorials tab on the Home Page, refresh the page in your browser.) DONATIONS – Edit a donation How to edit an existing donation. 1. Click the Edit Donation button. 2. Search for the name of the donor you want to edit by typing the name or part of the name in the Enter Donor text box. 3. Click the Search button. 4. A list of donors will appear. 5. Click Select at the left of the donor you want to edit. 6. Text boxes will appear for the Donor Name and In Memory Of person. 7. Retype the name as you want it to appear. 8. Click the Update button to save the record or Cancel button to cancel. 9. If the Update button is clicked, the following message will appear at the top of the page: “Donation successfully updated.” DONATIONS – Delete a donation How to delete an existing donation. 1. Click the Delete Donation button. 2. Search for the name of the donor you want to edit by typing the name or part of the name in the Enter Donor text box. 3. Click the Search button. 4. A list of donors will appear. 5. Click Select at the left of the donor you want to delete. 6. The following message will appear: “Are you sure you want to delete the selected donation record?” 7. Click the Yes button to delete the record. Click No to cancel. 8. If the Yes button is clicked, the following message will appear at the top of the page: “Donation successfully deleted.” HEADSTONE PICTURES Add a picture to a record from your computer 1. Click the Upload Picture button. 2. Associate Picture with Grave form will appear at the bottom of the page. 3. Type a name or part of a name in the text boxes. (For example, type “smith” to find names “Smith” or “Smithton”.) 4. Click the Locate button to locate the burial record. 5. A list of names will appear at the bottom of the page. (You may need to scroll to see them.) 6. Click Select to the left of the name you want to add a picture. 7. A form to Browse for the picture will appear at the bottom of the page. (You may need to scroll.) 8. Click the Browse button and select the picture from your computer. 9. Click the Upload button to upload the picture. 10. The following message will appear: “Picture successfully uploaded.” Add a picture to a record from your phone 1. Take the picture with your camera phone. 2. Go to the website on your phone: www.gravelocater.com 3. Click the Login button on the toolbar 4. The Administration and Maintenance page will appear. 5. Scroll down and click the Upload Picture button. 6. The Associate Picture with Grave form will appear at the bottom. (You may need to scroll down.) 7. Type the Last Name or part of a name in the text box(es). 8. A list of names will appear. 9. Select the name that you want to associate with the picture. 10. The following message will appear: “Picture successfully uploaded.” 11. To verify, go to the Home page and locate the grave. EXPORT TO EXCEL You may want to download records to Excel on your computer so that you can print hard copies of your records. All data that is downloaded to your local computer will be a snapshot of your data at the time it is downloaded. If you change the data in your copy of Excel, it will not change the data stored in the cloud. You must go back to the Grave Locater application and change the data then download to Excel again. 1. Click the Download to Excel button. 2. A dialog box will open. 3. Click Open or Save or Cancel. 4. If Open or Save is clicked, Excel will open with all the data for your cemetery, 5. Click File  Save or Save As to save a copy to your computer.

LOGIN

Login to maintain records.

1.      Type www.gravelocater.com in your browser.

2.      The Home page will appear.

3.      Click the Login Button on the toolbar of the home page.

4.      Enter your user id and password in the text boxes.

OWNERS – Search and Add New

Search Owners to find if an owner is already in your database:

1.      Click the List Owners button. 

2.      Type a name or part of a name in the “Enter Owner Name” text box.  (For example, type “smith” to find names “Smith” or “Smithton”.)

3.      Click Search button.

4.      Search results will appear.

5.      Click Select next to an owner’s name to see their Block, Lot, and Gravesite information

How to add a new owner:

1.      Click Add New Owner button.

2.      Type in new owner name in the “Enter New Owner Name” text box.

3.      Click Add.

4.      New Owner Successfully Added will appear at top of page.

BURIAL SITES – Add New

How to add burial sites for an owner including Block, Lot, Gravesites.

1.      Click the Add Burial Sites button.

2.      Search for an owner then click Select to the left of the owner name.

3.      Scroll and page through the list of available Block, Lot, Gravesites then click in the Select  box   to the left of the list of the ones you want to add.  (A map of the cemetery will also display.)

4.      Click the Add button.

5.      The burial sites you added will appear in the form at the top of the page along with the owner’s name.

6.       Burial Site(s) added will appear at the top left of the page.

BURIAL DETAIL – Add New

How to add burial detail including name, birth date, death date, notes.

1.      Click the Add New Burial Record button.

2.      Search for the owner by scrolling through the list or by using the Search text box. (To Search, type a name or part of name in the text box. Click the Search button.)

3.      Click Select to the left of the owner name.

4.      Burial detail form will appear.

5.      Enter First Name, Middle Name, Last Name, Maiden Name, Birth Date, Death Date, and Notes in the text boxes.  (Note: dates are free form.  You can enter any date format you want to use.)

6.      Click the check box if person was a Veteran.  If not a Veteran, leave the check box blank.

EDITING and DELETING RECORDS

How to change a record that has already been entered and saved.

OWNERS – Edit an existing owner

3.      Click Search button.

4.      Search results will appear.

5.      Click Select next to the name you want to edit.

7.      Click the Save button to save the record or Cancel button to cancel.

8.      If the Save button is selected, a message will appear at the top of the page that the record has been successfully changed.

BURIAL DETAIL – Edit existing burial detail

1.      Click the Edit Burial Data button.

2.      Click a radio button to search By Owner, By Last Name, or By Block Lot. You can only select one radio button at a time.

3.      If you search By Owner or By Last Name:  Type a name or part of a name in the “Enter Owner Name” or “Enter Last Name” text box, then click Search.

a.      A list will appear.

b.      Click Select to the left of the name.

c.       A list will appear.  Click Select to the left of the name you want to edit.

d.      A form will appear.  Enter the corrected text in the text boxes.

e.      Click Update to save the record or Cancel to cancel the record.

f.        If the Update button is selected, the following message will appear at the top of the page: Burial record successfully updated.

4.      If you search by Block Lot:  Type the Block and Lot numbers in the “Enter Block” and “Enter Lot” text boxes, then click Search.

a.      If no Block Lot combination is found the following message will appear at the top of the page:  No Block Lot found.

b.      If the Block Lot is found, a list will appear. Click Select.

c.       A list of the gravesites for that Block Lot will display. 

d.      Click Select next to the record you want to edit.

e.      A form will appear.  Enter the corrected text in the text boxes.

f.        Click Update to save the record or Cancel to cancel the record.

g.      If the Update button is selected, the following message will appear at the top of the page: Burial record successfully updated.

RELEASE SITE OWNERSHIP

How to release a vacant grave site for an owner.  Note:  A site can’t be released for an owner if there is a burial associated with it.

1.      Click the Release Site Ownership button.

2.      Search for an owner.  To Search, type a name or part of name in the text box. Click the Search button

3.      A list of owners will appear.

BURIAL DETAIL – Delete a burial record

How to delete a burial record.

1.      Click the Delete Burial Record button.

2.      Search for an owner.  To Search, type a name or part of name in the text box. Click the Search button.

3.      Click Select to the left of the owner name.

4.      A list of burial records for the owner will appear.

5.      Click Select to the left of the burial record you want to delete.

6.      The following message will appear: “Are you sure you want to delete the selected burial record?”

7.      Click the Yes button if you are sure want to delete the record.  Click No to cancel.

8.      If you click the Yes button, the record will be deleted and the following message will appear at the top of the page: “Burial record successfully deleted.”

DONATIONS

DONATIONS – Add a new donation

How to add a new donation.

1.      Click the Add Donation button.

2.      Type the donor’s name in the Enter Donor text box.

3.      Type the name of the person the donation is in memory of in the Enter In Memory Of text box.

4.      Click the Add button to save the record or Cancel button to cancel the entry.

5.      If the Add button is clicked, the following message will appear at the top of the page: “Donation successfully added.”

6.      To verify, go to the Home page and click Donations and Memorials on the toolbar.

7.      A list of donors will appear.  The donation you just added will be at the top of the list.  (Note:  If you don’t see a newly added record on the Donations and Memorials tab on the Home Page, refresh the page in your browser.)

Add a picture to a record from your computer

1.      Click the Upload Picture button.

2.      Associate Picture with Grave form will appear at the bottom of the page. 

3.      Type a name or part of a name in the text boxes.  (For example, type “smith” to find names “Smith” or “Smithton”.)

4.      Click the Locate button to locate the burial record.

5.      A list of names will appear at the bottom of the page.  (You may need to scroll to see them.)

6.      Click Select to the left of the name you want to add a picture.

7.      A form to Browse for the picture will appear at the bottom of the page. (You may need to scroll.)

8.      Click the Browse button and select the picture from your computer.

9.      Click the Upload button to upload the picture.

10.   The following message will appear: “Picture successfully uploaded.”

Add a picture to a record from your phone

1.      Take the picture with your camera phone.

2.      Go to the website on your phone:  www.gravelocater.com

3.      Click the Login button on the toolbar

4.      The Administration and Maintenance page will appear.

5.      Scroll down and click the Upload Picture button.

6.      The Associate Picture with Grave form will appear at the bottom.  (You may need to scroll down.)

7.      Type the Last Name or part of a name in the text box(es).

8.      A list of names will appear.

9.      Select the name that you want to associate with the picture.

10.   The following message will appear: “Picture successfully uploaded.”

11.   To verify, go to the Home page and locate the grave.

EXPORT TO EXCEL

You may want to download records to Excel on your computer so that you can print hard copies of your records.  All data that is downloaded to your local computer will be a snapshot of your data at the time it is downloaded.  If you change the data in your copy of Excel, it will not change the data stored in the cloud.  You must go back to the Grave Locater application and change the data then download to Excel again. 

1.      Click the Download to Excel button.

2.      A dialog box will open.

3.      Click Open or Save or Cancel.

4.      If Open or Save is clicked, Excel will open with all the data for your cemetery,

5.      Click File à Save or Save As to save a copy to your computer.
